Executive Assistant and Studio Administrator

BNIM Architects is looking for an Executive Assistant and Studio Administrator in our Kansas City, Missouri office. The position will support multiple Principals as well as a design studio. Qualified candidates should have a minimum of 5 years of experience as an Executive Assistant or other relevant experience. This role has the potential to be more than a traditional Executive Assistant role. The role would support firm leadership in a variety of initiatives including project team support, studio coordination, and business development.  Skills and experience could include research, strong writing and editing, a high level of professionalism, and the ability to communicate clearly and effectively with all levels of staff and clients. 

Primary responsibilities include: prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner; heavy email and calendar management; meeting coordination; project-related documentation and filing; arrange travel schedule and reservations for Principals and office staff; screen Principals' mail, voicemail and appointments using good judgement and knowledge; proactively anticipate Principals' needs and bring together appropriate people and other resources to support their activities.

Additional responsibilities include event planning, marketing research and support, prepare expense reimbursements and reconcile credit card statements, professional license renewals, presentation creation and support, and other administrative duties as assigned. Experience with contracts, project management, and/or construction administration is a plus.

This position fits an individual who is flexible, outgoing, detail oriented, willing to take initiative, motivated, along with strong time-management skills, strong writing, editing and verbal skills, a high level of professionalism, and the ability to communicate effectively with all levels of staff and clients. Strong decision-making ability and attention to detail is critical. Position will require interaction with both internal and external executives and assistants as well as consultants to coordinate a variety of complex executive meetings. A high level of discretion and confidentiality is required for this position.

Required technical skills include proficiency in Microsoft Word, Outlook, Excel, PowerPoint, writing and editing and conducting internet research. Experience with Adobe Creative Suite, and productivity tools such as Tonic and/or Deltek Vantage Point is a plus. Experience in the A/E industry is a plus.
