Nursing Secretary

Job Details:
  • Monday-Friday, 9am-5pm
  • Located in Brooklyn, NY 11214
  • Salary based on experience

Duties & Responsibilities:
  • Complete, distribute the midnight census; maintain accurate records of census activity.
  • Responsible for the admission/re-admission process outlined in the Department’s Operational policy and procedure.
  • Ensures photographs of new resident admissions are on resident’s medical record.
  • Communicate Admissions/Discharges via notices in the Nursing Administration Communication Book
  • Compile facility’s Roster Matrix/Census and condition sheet on a weekly basis.
  • Compile and distribute weekly Pressure Ulcer tracking in read only format for the Wound Care Specialist and other clinical staff as appropriate.
  • Complete assignments from the ADNS/In-service Director. Completes and distributes weekly In-service Calendars.
  • Enter all nursing staff /orientation/training into the departmental tracking computer program.
  • Collaborate with ADNS/Inservice Director to review the monthly Pharmacy Consultant audits.
  • Distribute Implementation/Discontinuation of Infection Precautions form to the ID Team
  • Maintain files on completed Occurrence Report for residents.
  • Responsible for re-certification procedures for Certified Nursing Assistants.
  • Facilitate the completion of probationary and annual nursing employee evaluations.
  • Order and maintain inventory of office supplies
  • Respond to Units request for medical equipments
  • Maintain a professional relationship with vendors
  • Facilitate the completion of various departmental audits.
  • Order and track Wander Guard devices (weekly); ensure Wander Guard book is updated on an on-going basis.; ensure Security Guard has picture of resident at risk for unsafe wandering and elopement with the resident’s name. Manage the medication return to Pharmacy.
  • Collaborate with the Director for Quality Management
  • Completion of Medicare/Medicaid documentation (Certifications/authorizations)
  • File MD certifications/authorization documents in medical record
  • Fax resident updates to 3rd Party Payors;
  • Follow-up with received authorizations
  • Monitor PAR levels in the Night and Evening Shift supply closets and collaborate with Purchasing to maintain adequate supplies
  • Participates in filing of Nursing related form in residents’ medical record.
  • Provide coverage for Medical office, as necessary.
  • Complies with all HIPAA regulations to assure resident rights are protected.
  • Perform related duties as assigned, etc. compose routine correspondence, reports, statements, minutes of meetings, agenda etc., as necessary/directed.

Education:
  • High School Diploma, additional education preferred

Qualifications:
  • Experience as an administrative assistant
  • Healthcare experience preferred
  • Must have computer skills, minimum of 45 wpm
