Finance Associate

JOB DESCRIPTION
The Finance Associate will be responsible for general bookkeeping activities and practices within the office. This role will participate in reviewing and appraising financial procedures and records in addition to budget reconciliation for individual projects. This role will provide support to several business units under FIRST (potentially working in two or more sets of books) as well as support our FIRST Solutions arm of the business. The Finance Associate will report to our VP, Finance.

RESPONSIBILITIES:
Project Budget Reconciliation
  • Analysis of the P&L in preparation to matching to project budget for the final billing and close out of the project
  • Review and re-class expenses for projects
  • Liaise with the teams to ensure timely close out of projects
  • Tracking of outstanding costs/commissions to ensure accuracy of the budgets
  • Assistance in setting up a project budget at the beginning of a program

Accounts Receivables (using QuickBooks Software)
  • Assist internal staff with client’s program reconciliations for missed billing and/or vendor payments

Accounts Payables (using QuickBooks Software)
  • Invoice tracking and coding assistance
  • Enter approved bills for payment per check requests for projects and/or internal expenses scanned and uploaded to Dropbox or received from internal staff
  • Assistance with check/vendor payment run weekly and work closely with the Senior Finance Associate with the weekly payment selection
  • Assist the management of the Corporate AmEx/Chase credit cards and allocation of the expenses
  • Interact with external CPAs and other advisors with accounting issues and questions

Other tasks
  • Assistance with the budget template training sessions
  • Set of new receipt matching software, maintenance with the system and assisting the team with its use
  • Create SOPs for efficiency
  • Performs other related duties as assigned

QUALIFICATIONS:
  • Bachelor’s Degree required preferably in Accounting or related field
  • 2 – 3 years’ experience in bookkeeping and accounting
  • Knowledge of SAP is a plus
  • Proficient in Microsoft Applications (Word, Excel, and Outlook)
  • Knowledge of accounting systems and processes (knowledge of Concur and Quickbooks a plus)
  • Strong attention to detail and highly organized
  • Multi-tasker that can work under pressure
  • Ability to work well, both independently and as part of a team, and meet professional challenges
  • Strong accounting knowledge and project management skills
