Post Closing Document Specialist

Basic Description
This position is responsible for receiving, tracking and reviewing all closing packages and trailing documents. Their review is cursory in nature and involves communication with settlement agents and internal staff to obtain missing information or corrections. This position creates collateral packages, registers loans with MERS and oversees the processing of up front mortgage insurance checks.

Duties & Responsibilities, including but not limited to:
  • Responsible for receiving the Mail, FedEx and UPS on a daily basis
  • Opens all overnight closing packages received
  • Extract original note and all other documentation required by the warehouse banks in order to prepare a collateral package for each loan file.
  • Review Closing Package for proper execution and work with title companies to gather any deficit closing documentation
  • Scanning and uploading of loan files to Encompass
  • Process all mortgage insurance checks from settlement agents including FHA, RD, VA
  • Monitors list of expected closing packages, taking appropriate actions as needed
  • Registers funded loans with MERS
  • Maintains the filing system of the collateral packages
  • Prepares shipping manifests and overnight labels for delivery of collateral packages to each of our warehouse banks.
  • Locates and delivers additional documentation contained in exception reports to appropriate warehouse banks in a timely manner.
  • Receives and reviews Trailing Documents, then scans and prepares them for delivery to the corresponding investor or document custodian.
  • Monitors reports for outstanding trailing documents and works with appropriate parties to obtain them
  • Processes all incoming Hazard Insurance mail and follow up as needed
  • Maintain knowledge of all systems supporting the closing, shipping and delivery of loans.
  • Accepts all other duties as assigned

Qualifications/Skills:
  • High school diploma or equivalent
  • Must be able to lift 10-20 lbs and stoop or kneel for filing.
  • Proficient computer skills required; knowledge of Microsoft Office (Word, Excel and Outlook) and Internet Browsers. 
  • Ability to operate office equipment including computers, telephones, voice mail, copy machines and scanners
  • Knowledge of modern office practices and procedures; accurate grammar, spelling, punctuation and Standard English usage; business correspondence formats, record keeping and filing methods; basic math calculations.
  • Must possess good judgment and the ability to handle confidential information.
  • Strong written, verbal and interpersonal communication skills and the ability to use e-mail, telephone, and other communication tools as necessary.
  • Ability to independently plan, prioritize, organize and complete work in an efficient manner
  • Ability to work quickly and accurately. Attention to detail required.
  • Ability to interpret and follow variety of instructions furnished in written, oral, diagram, or schedule form and complete assignments without detailed directions.  Problem solving skills required
  • Ability to maintain regular and punctual attendance.
  • Available to work overtime; if applicable
  • Flexible attitude with ability to work under pressure

Desired Qualifications/Skills:
  • Prefer candidates with prior banking/mortgage experience
  • Familiarity with all conventional and government loan origination and closing documents; experience working primarily in a paperless environment; knowledge performing MERS online system activities; and know-how with loan collateral delivery process
  • Knowledge of loan origination systems, such as Encompass
  • Understand that good working relationships are one of the keys to success in this organization

The position is full time, benefit eligible (Health Insurance after 30 days, 401k after 90 days), paid holidays, 10 vacation and 5 personal days per year, and participation in our profit share program.
